    I was hoping you could advise me the steps to take for the Google route and my questions were relating to that.

    Since web hosts are different from each other, I can't really go into detail on that side of things but when it comes to using Google Apps courtesy of your soon-to-be host, syncing your emails to your PCs and devices is just like syncing normal GMail service.

    If you plan on using all of the Google Apps, I recommend the Google Apps Sync plugin for Outlook. It will allow you to sync your outlook calendar, mail, and contacts that are already in your outlook profile (in your case, from your old system) up to Google Apps.

    I highly recommend this if you plan on using all of the Google Apps services. This plugin can be installed on all of the PCs that have Outlook that you wish to use. Watch the video!!!!!!

    When it comes to smartphones, the iPhone and Android-based phones have Google Docs, Calendar, Email apps that pretty much do the same thing on your phone.

    An alternative (and for email only) is IMAP. Google's documentation on IMAP setup is here: IMAP - Gmail Help
