    Outlook 2010: Instant Search not working


    Outlook 2010: Instant Search not working when Cached Exchange Mode is turned on.

    My Outlook able to perform Instant Search when Cached Exchange Mode is turned off.

    I had tried:
    1. Created new Outlook profile.
    2. Enabled Windows Indexing Service.
    3. Rebuild Windows Index.

    I also followed the steps provided in this page:

    Anyone meet this issue before?
    Kindly help me if you know the solutions.

    Yes, this is the issue....

    Features requiring Cached Exchange Mode
    As said, there are quite a number of features in Outlook 2010 that require Cached Exchange Mode in order for them to work or to work better. The most notable features are;

    • Work Offline (duh, I know)
    • Junk E-mail Filter
    • Instant Search*
    • Conversation View (Show Messages from Other Folders)
    • Clean Up
    • People Pane / Outlook Social Connector*

    Instant Search and the People Pane / Outlook Social Connector
    Aside from Cached Exchange Mode, Instant Search also needs Windows Search in order to work. The Outlook Social Connector, which adds the People Pane in Outlook, in its turn relies heavily on Instant Search.
    Too bad too. In a setting where you can run non-cached mode efficiently on certain workstations this is a snag in my opinion. I certainly understand why it relies on cached mode but it's not always necessary.

    I just found out that, when I turned off the Cached Exchange Mode, I only able to perform Instant Search on Inbox items, its failed to search any item from my personal folders.

    When I turned on the Cached Exchange Mode, I failed to perform search on my Inbox and personal folders.
    So I guess, the Instant Search is not working on my local .ost and .pst files.

    I tried run the scanpst.exe, but still no help at all.

    Possible Answer to Instant Search Not Working in Office 2010


    I have been having this same problem since upgrading my system to Vista 64bit and Office 2010 64bit, and been trawling the internet looking for answers. Just as I was giving up after trying every suggested answer I found, I discovered the answer on my own.

    My email is through an Exchange Server, and in the Account Settings - More Settings - Security the option to Encrypt Data between Microsoft Outlook and Microsoft Exchange was checked, and then in the Search Options - Indexing Options - Advanced, Index Encrypted files was unchecked. This made me think to myself "can Instant Search not index my emails because they are encrypted?".

    I removed the check from Encrypt Data between Microsoft Outlook and Microsoft Exchange, and then rebuilt my index.

    I am now able to find indexed emails in my Exchange Email folder, with Cached Exchange Mode Selected.

    I have not tried it the other way round, i.e. Leaving a check in the Encrypt Data between Microsoft Outlook and Microsoft Exchange, and then adding a check in the Index Encrypted files option. But this may also work.

    Hope this helps anyone that has been scratching their heads over this. :)

    My solution


    Hey Guys,

    New to the IT world on a business level so take that in to consideration but I ran into the same issue with one of my users. I tried deleting the ost file, rebuilding the index, turning on and off the index feature of windows. If the solution was post somewhere on the internet I used it. None seemed to work.

    After talking to the user I found out that her profile on citrix was fine and that was where she was working from now. So I just went to C:\users\ actual users profile name\appdata\local\microsoft and deleted the entire outlook folder. That way Outlook opened like new and this resolved the issue. Kind of extreme but it worked. So I figured I would share the knowledge wealth.

    This was with Outlook 2010 with windows 7 32bit system. I didn't try the encrypt data thing because every other persons in our environment was setup with it one check and the other unchecked.
