Desktop icon is different from documents

This is very confusing and I need some help. Let me explain. I have a folder in documents called “Ombudsman.” In turn, that folder contains several other folders. I have placed a copy of “Ombudsman” on my desktop. When I copy an xl file or word file to “Ombudsman” on the desktop, that file does not copy to the underlying version of “Ombudsman” in documents; only to the version on the desktop. So when I look in documents, the file is not there; only in the desktop version. Can’t figure out why this happens or how to make sure that what I see in documents Ombudsman is the same as desktop Ombudsman. I’m using Windows7. Can someone please help?!

If you created a copy of that folder on the desktop, it is a copy, an entirely separate folder. What is put in there will not go to the original.

You should just create a shortcut to that folder and put the shortcut on the desktop.

Well I used the term icon but I think what I did was put a shortcut on the desktop. Let me try again and see how it works out. Thanks for our response.
