Solved Outlook 2007 Multiple Personal Folders

Here are the issues with a new installation of Office Outlook 2007.
After the IMAP install I went into tools > options > mail setup > email accounts > datafiles > add > office outlook pst

and the folders and files with the account populated their respective areas.
However I ended up with multiple personal folders.
I have one personal folder above the mail.ourserver.com and three personal folders below the imap mail.ourserver.com

I am tempted to copy the files (inbox, sent, and so forth) from the lower three personal folders into the first listed personal folder – and then delete those three personal folders leaving one personal folder.

Second: on the imap mail.ourserver.com ‘sent’ are all the older sents however on the first listed personal folder in that ‘sent’ box are the current sends? That I cannot figure out….

And lastly I have four ‘Contacts’ that I incorporated using tools/options….
The first three contact folders were old contacts used as historical reference.
The forth contract folder I named ‘Contacts 2012’. Though I added the four pst contact folders the Contact 2012 is not listed, and I cannot locate it. However, if I compose an email and bring down from the contact list – there is listed Contact 2012 – and then I can add the recipient.

I have a scrambled Outlook 2007 and manage with difficulty maneuvering through the hierarchy however having everything in logical territories would be advantages. A singular personal folder, the imap mail folder, and the current contacts all accessible.

Thanks for any help to untangle Outlook 2007.

Hmm, could use some organization.

Try drawing a layout of what you WANT to have and add side bar notations as to what in included from the current arrangement.

Search your hard drive for all PST files and make a list. Also decide what you really need to access on a daily basis - and no, "everything" is not a good answer.

Once those are done we can look at how to construct the desired mapping.

As you have shared screen-shot, this problem occurs due to multiple PST files, So you can solve this issue by select one PST which are mostly used. If you need other PST item than you can do by export and import option from Tool menu. It is good practice to use one PST file in outlook.

I read one pst ; however, what I did was break down folders into logical arenas ; example 'a-d.pst e-h.pst' and so forth. Thus I have mulitple pst's because I have perhaps 20GB email. This is all business/client stuff. The is the results of migrating out of OE6 2GB limit long ago. I can see merging several pst's into one pst however it would be a massive size. Is that how it is done in Outlook 2007 - create one large pst? Thanks

There is nothing wrong with have multiple PST files - I have about a over a dozen of them totally 32GB. I did that to organize them based on business needs. I name each so it is easy to identify the contents. I have a separate folder on the hard drive where I store all of the folders which makes it easy to locate them.

Here’s what happened: replaced the old hard drive running Xp and Outlook 2003 with a new hard drive running Windows 7 Pro and Outlook 2007. I had the Psts stored on E Drive.

I now have four personal folders. I am attempting to figure out which personal folder to keep – and remove the other three after I copy any relevant content from the extra personal folders into the default personal folder. I discovered I am unable to delete personal folders within Outlooks.

I have included easy viewable Pdf’s to review. One shows 3 personal folders on E drive and then another personal folder on C~default. Should I delete the personal folders on E drive and keep the default on C drive?

I then notice I have identical contacts associated with the personal folders.
If I delete from E drive the personal folders will the put the contacts into
The remaining default personal folder?

You can keep any wherever you wish. Not sure about the contacts (I never had to deal with that situation).
